PRIMARY PURPOSE/SCOPE
The Student Accounts Customer Service Coordinator serves as a primary point of contact for students, families, and internal departments regarding student accounts, financial aid, and registrar services. This position requires a strong commitment to customer service, confidentiality, and attention to detail. The coordinator supports Bluefield University’s mission through accurate and professional communication, data management, and student-focused service.
ESSENTIAL DUTIES, RESPONSIBILITIES, AND FUNCTIONS
The essential duties, responsibilities, and functions of this combined position include, but are not limited to, the following:
- Serve as the main representative for Bluefield Central, managing walk-in traffic, phone calls, and the [email protected]
- Provide support to students and families on a range of topics, including financial aid navigation, FAFSA assistance, VTAG details, and payment plan options.
- Process and post student payments and assist with collections by sending billing statements and communicating with students via email, phone, and text.
- Conduct financial estimations for prospective and current students and monitor accounts for transcript and registration eligibility.
- Handle administrative tasks such as processing mail, updating student information in Jenzabar, and maintaining detailed records of student interactions.
- Ensure FERPA compliance and maintain strict confidentiality in all communications.
- Supervise and assign tasks to office work-study students.
- Stay current on university policies, procedures, and programs through ongoing training.
- Cross-trained to assist in answering questions regarding Financial Aid and the Registrar’s Office.
- Assist with open houses, RAM Days, Move-in Days, FAFSA workshops, and other events (for both Online and Traditional Programs).
- Assist with the supervision of work-study students.
KNOWLEDGE, SKILLS, ABILITIES, AND EDUCATION/EXPERIENCE
- Education and Experience: A bachelor’s degree in business administration or a related field is preferred, along with 3–5 years of experience in customer service, data processing, and file management. Experience with student information systems, especially Jenzabar, is strongly preferred.
- Skills and Abilities: Strong verbal and written communication skills, a professional demeanor, and high proficiency in Microsoft Office are required. The ideal candidate will be able to manage multiple tasks independently and collaboratively. Knowledge of FERPA guidelines is essential.
- Faith-Based Requirement: A personal relationship with Jesus Christ and a commitment to the mission of Bluefield University are required.

This position has no specific working conditions; the work environment is typical to that of a small private residential institution of higher education, with physical remote site locations within 500 miles of the main campus in Bluefield, Virginia.
