Financial Aid Advisor (Online and Graduate Programs)


Reporting to the Director of Financial Aid, the Financial Aid Advisor (Online Programs) represents Bluefield University to students, parents, faculty, staff, and other constituents. The successful candidate exhibits superior customer service skills and professionalism throughout daily interactions and communications with students including, phone calls, emails, and information sessions. The counselor must demonstrate an ability to work independently as well as collaboratively with team members, faculty, students, alumni, administrators, and staff. A flexible work schedule that will include days, evenings, and some weekends is required.

This position has the primary responsibility for financial aid processing, customer service both general and individual, and providing financial aid support to the online university, but can provide assistance to the overall student financial aid operations.


 The Financial Aid Advisor (Online and Graduate Programs) will be expected to perform the following duties, responsibilities, and functions:

  • Assists students with completing financial aid processes, assigns the appropriate budget to a student, and packages online and graduate students in a timely manner.
  • Advises online and graduate students on enrollment and academic decisions affecting their aid eligibility.
  • Modifies online and graduate students’ financial aid awards to mirror actual enrollment and academic status.
  • Reviews ISIR updates for online and graduate students and uses selection sets to review students as deemed necessary throughout the year. This includes but is not limited to CFLAG review, disbursement review status, requires review status, loan limit, over-award status…etc.
  • Completes data exchange process for online and graduate cohorts for awarding.
  • Coordinates and details all processes related to the online program; maintains accurate files and paperwork.
  • Participate and assist in financial aid events coordinated with Bluefield Central and other offices such as BU Preview days, RAM Day, move-ins…etc.
  • Reviews, processes, and reports on Two-Year College Transfer Grant Applications.
  • Reviews and processes VTAG applications.
  • Reviews and certifies loan applications for online and graduate students
  • Maintains a general knowledge of the basic verification requirements and procedures, and can advise students accordingly.
  • Works with Admissions and Academic Advisors to ensure compliance and to facilitate outstanding service to prospective and continuing students.
  • Creates and revises letters, forms, and website information to submit to the Director of Financial Aid for review as necessary.
  • Counsels students.
  • Update Transfer Monitoring List through NSLDS and review and clear alerts as needed.
  • Provides telephone, e-mail, in-person, and online customer service.
  • Communicates policies, procedures, and deadlines including but not limited to refunds, withdrawals, consortium, Online Courses, VTAG, loans, employer reimbursement, etc.
  • Reviews and assess students for veteran communication.
  • Able to use PowerFAIDS and FA Inquiry to look up the status of documents received, not received, and incomplete.
  • Completes Bottom-line Estimation Worksheets for all confirmed students and completes for accepted students, upon request.
  • Able to answer general financial aid questions and explain to students and families, such as but not limited to, FAFSA, how to obtain an FSA ID, important government websites, VTAG information, deadlines, standards, and understanding census dates, and consequences,etc.
  • Collaborates interdepartmentally to ensure best practices with our office and student processing.
  • Develops and maintains knowledge of federal, state, and institutional regulations related to financial aid, including periodic reviews of the NASFAA, SASFAA & VASFAA websites.
  • Develops working knowledge of software programs associated with student financial aid and the college’s other administrative systems (Jenzabar and PowerFAIDS).
  • Coordinates with other offices to effectively, and efficiently administer financial aid policy and procedures relating to but not limited to packaging, originating, disbursing, and returning aid.
  • Awards students in accordance with federal/state regulations and Bluefield University policies.
  • Collects, date stamps, reviews for completeness and uniformity, and then logs mail accordingly as necessary.
  • Conducts financial aid workshops and presentations, as needed.
  • Prepares and mails award letters, missing documents, exit packets, and any other correspondence to online and/or graduate students.
  • Tracks online and/or graduate students’ withdrawals, calculates refunds, and performs return of funds calculations.
  • Tracks student aid history through NSLDS
  • Interprets University policies to employees and enforces safety regulations.
  • Complies with all rules, policies, and procedures as established by Bluefield University.
  • Performs other duties as assigned and helps with general financial aid operations.

Additional responsibilities of the Financial Aid Advisor (Online and Graduate Programs):

Student Service

  • Ability to explain FERPA to all constituent groups.
  • Utilize the phone, email, and mail to communicate with students in a timely manner, providing superior student service.
  • Have the ability to explain, distribute and collect all Bluefield Central forms and documents.
  • Able to review student accounts to verify the amount owed or anticipated credit.
  • Explain and guide students through the registration process as necessary
  • Discuss payment plan options as necessary.
  • Ability to distribute checks to students when needed.
  • Receive payments over the phone and in-person to be receipted by Student Accounts as necessary.
  • Print copy of AR statement and AR Account Report for students upon request.
  • Run credit card payments to be logged into receipt book and receipted by Student Accounts.
  • Ability to follow the expectation of treating fellow employees, students, and the institution’s guests with civility, and to refrain from activities that disrupt the efficient functioning of the college.
  • Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism.
  • Attend training sessions to receive updated information about new programs, services, requirements, etc.
  • Interprets University policies to employees and enforces safety regulations.
  • Complies with all rules, policies, and procedures as established by Bluefield University.
  • Performs other duties as assigned.


This position does not directly supervise any university employees.  However, this position is responsible for assisting with the supervision, monitoring, and assigning tasks for the work-study students in the office, to help maintain organization and smooth workflow of files and paperwork.


Recruiting, management, sales, and/or knowledge of higher education strongly preferred; Must be able to demonstrate excellent written and oral communication skills; Knowledge of accounts receivable and related collections regulatory requirements;   Experience with the finance functions of ERP software, such as Jenzabar, and/or the ability and background to gain this experience;  Well-developed presentation skills are required; Goal oriented and intrinsically motivated with superior customer service and networking skills; Facility with MS Office Suite and the Internet as a tool; Ability to manage student files and rosters via the Jenzabar system; Ability to build relationships with students and determine the correct program fit for students’ career and personal goals and follow them through the enrollment process; Experience working with adult population preferred; Professional attire and personal presentation required daily.

Do I only apply once?

  • No. Students must apply each academic year for the fall semester and submit the necessary documents.

Do I have to take the classes specified in the Associate's Degree tracks as they are listed on the information sheet?

  • No. Students may take any of the courses that are offered in a given term.

Where do I find the textbook listing, and where do I purchase the books?

  • Log in to myBU, and under the "Student" tab, you will find a list of the textbooks required (if any) for each course. Students are responsible for purchasing their own textbooks.

How long is a semester?

  • Our semesters are divided into two 8-week terms.

Is there an orientation?

  • Yes. Students can attend an orientation session that explains how to access courses, how to register for classes, and answers other questions.

Where can I find a course description?

Does the student need to take the SAT or ACT in order to take Dual Enrollment classes?

  • No. If a student decides to study at BU full time, BU is currently test-optional for the 2021-2022 admissions cycle.

Are the classes live? Do students need to log in and participate at certain times?

  • Classes are offered online, so a student can log-on and study at their convenience and their own pace. Students have assignments due each week; you can complete your assignments at any point in time before the deadline.

Does an Early College student need to come to campus for anything?

  • No. However, we would love to have you visit our campus if you are interested in continuing with traditional on-campus study. Students who complete their associate's degree have the option to walk at our commencement ceremony.

Are Early College students able to receive Financial Aid?

  • No. However, Early College courses are very affordable compared to other options. The cost for an online Dual Enrollment course is $100 per credit hour.

How do transferring credits work?

  • Each College or University completes a transcript review in order to decide which courses transfer. Sticking to general education classes generally makes transferring credits simple. All Early College courses at Bluefield University are general education classes that should transfer to another accredited institution.

Is an Early College student considered, and treated, as a transfer student when they become a full-time college student if they have earned enough credits to be a Junior?

  • No. Since they have not graduated from high school, they are considered a first-time college student regardless of how many credits transfer. However, by transferring credits when they enroll as a full-time student, they will have to take fewer classes to receive their bachelor's degree, which shortens the length of time to earn the degree.
